Code of Conduct
(Version: 1.1) Effective Date: 15 th January 2025
1. Purpose
This Code of Conduct outlines the professional, ethical and safety standards expected from all
employees, contractors and temporary staff working at UGC SUPPLY CHAIN SOLUTIONS PVT.
LTD. All individuals are required to follow this code strictly to ensure discipline, operational
efficiency and safety at all times.
2. Scope
This Code applies to all personnel associated with UGC Supply Chain Solutions Pvt. Ltd.,
including full-time, part-time, contractual and temporary staff, across all operational locations.
3. General Conduct
- All employees shall behave professionally, respectfully and courteously with co-workers,
supervisors, clients and visitors.
- Discrimination based on gender, caste, religion, disability, age, race or any other status
is strictly prohibited.
- Sexual harassment, including inappropriate comments, gestures, physical contact or any
unwelcome behaviour of a sexual nature, is strictly prohibited. Any such conduct will
lead to strict disciplinary action.
- Any form of misconduct, theft, vandalism, harassment or discrimination will result in
immediate disciplinary action.
- Use of abusive language, violence or threatening behaviour is strictly prohibited.
- Employees must wear authorized uniforms and safety equipment during working hours.
- Personal mobile use is restricted to designated areas and times, unless required for
work purposes.
4. Attendance and Work Discipline
- All employees must report to work on time and follow designated shift hours.
- Unauthorized absence, habitual late reporting or leaving the premises without
permission before completion of work hours may lead to strict disciplinary action.
- Leave applications must be submitted and approved in advance, except in cases of
emergency.
5. Health, Safety & Well-being
- All staff must strictly follow the Health & Safety protocols laid out by the company.
- Use of Personal Protective Equipment (PPE) is compulsory at all times at the time of
operations.
- Smoking, alcohol or drug consumption inside or around the work premises is strictly
forbidden.
- Attending work in an intoxicated state, whether due to alcohol, drugs or any other
substances is strictly prohibited and will result in immediate disciplinary action.
- Any injury or hazard must be reported to the supervisor immediately.
- Horseplay, running or engaging in unsafe behaviour will not be tolerated.
6. Asset Management & Workplace Security
- Employees must handle all assets including inventory, machinery and work premises
tools with care and accountability.
- Unauthorized removal or misuse of company or client property or goods will be treated
as theft.
- All security protocols, including identity checks, log entries and surveillance policies,
must be strictly followed.
- Employees must not tamper with security cameras, alarms or access systems.
7. Confidentiality and Integrity
- Any information regarding inventory, clients, pricing, operations, drawings, designs,
specifications, prototypes, processes or other technical details must be treated as
strictly confidential.
- Sharing company data or client details with any external party without written approval
is a serious offense.
- All documentation and reports must be accurate, honest and free of manipulation.
- Offering, accepting or facilitating bribes or any form of illegal payments, favors or
benefits is strictly prohibited. Such conduct will lead to immediate disciplinary action
and may attract legal consequences.
- Every employee must disclose in writing if:
- There are any ongoing or past criminal complaints or investigations against them;
and
- Any of their relatives are currently employed by UGC Supply Chain Solutions Pvt. Ltd.
or its clients, to avoid any potential conflict of interest.
8. Use of Company Property and Resources
- Equipment and vehicles must only be used by authorized personnel.
- Any damage caused due to negligence or misuse will result in penalties or recovery
charges.
- Tools must be returned to their designated places after use.
9. Disciplinary Actions
Violation of any rule outlined in this Code of Conduct will attract strict disciplinary measures,
including:
- Verbal or written warning
- Suspension with or without pay
- Recovery of damages or losses
- Termination of employment
- Legal action, where applicable
10. Acknowledgment
All employees must sign a copy of this Code of Conduct and agree to abide by it at all times.
Ignorance of rules will not be considered a valid defense in case of violation.
